Evaluate MasterControl if…
- →You need a fully pre-validated, purpose-built QMS with FDA and ISO out of the box — not a configurable platform you validate yourself.
- →Your QA team lacks the CSV capacity to validate a document-management layer and needs the vendor to carry that burden.
- →You need training management, CAPA, and audit management tightly integrated in one system — not separate tools coordinated via SharePoint.
Evaluate M-Files if…
- →Your core need is metadata-driven document organization across heterogeneous repositories (not just SharePoint) — where the same document needs to appear in multiple views without duplication.
- →You want to manage documents across multiple content sources (network drives, SharePoint, ERP) from a single interface.
- →You are not primarily a Microsoft 365 shop — or you want a system that is explicitly independent of the M365 ecosystem.
Evaluate AvePoint if…
- →Your primary concern is Microsoft 365 tenant governance at scale — permissions, lifecycle management, migration, and backup across Teams, SharePoint, and OneDrive — rather than regulated document control.
- →You are a large enterprise IT team managing M365 sprawl across hundreds of sites and need automated policy enforcement and reporting.
- →You are evaluating a Microsoft 365 backup and data protection tool more than a document-management solution.
Stay with plain SharePoint if…
- →You have no formal compliance obligation that requires audit trail, sequential approval, or controlled access — you just need document storage with versioning.
- →Budget is the primary constraint and you can absorb the manual overhead of managing compliance evidence through ad-hoc processes.
- →Your document volumes are very low (under 200 controlled documents) and the cost of an audit finding is lower than the cost of a governed system.
Evaluate docs365.ai if…
- →You are already on Microsoft 365 and want to add governed document lifecycle — template-driven creation, sequential approval, audit log, controlled access, expiration — without leaving the tenant.
- →Your compliance obligations are in the ISO 9001 / ISO 27001 / GDPR / FDA 21 CFR Part 11 space and you want a solution built for those regimes rather than a generic ECM.
- →You want to stay inside the Microsoft security and data-residency perimeter — no third-party cloud, no separate vendor SSO, no data leaving your tenant.
- →Your team does not have the internal resources to build and maintain a custom SharePoint-based document management system from scratch.
What we do not do — stated plainly
Honest comparisons include the edges. Here is what docs365.ai does not cover:
Not a full QMS. CAPA, nonconformance, supplier qualification, audit management, training management — these are QMS modules. docs365.ai is a document-management layer. For full QMS, MasterControl or Veeva Vault are the right conversation.
Not a pre-validated installation. Pharma and medical-device customers who need a pre-validated, vendor-delivered qualification package need a different product. Validation is conducted by your CSV team on our product, not delivered by us.
Not a multi-repository aggregator. We do not crawl network drives, legacy ECMs, or other SharePoint tenants. We govern the documents that live in your Microsoft 365 tenant.
Not a Microsoft 365 governance or backup platform. Tenant-level lifecycle management, Teams provisioning policies, cross-tenant backup, and permissions analytics are outside scope. AvePoint covers that territory.
