What's the hidden cost of your fragmented document management?

Four inputs. Three outputs. One number that will wake your CFO up.

Company-wide daily time loss
Daily cost
Monthly cost
🚨 Total annual cost
✅ Potential savings with DMS (60%)

📊 Assumptions underlying the calculation

  • Industry data shows employees spend 30–60 minutes daily searching for docs and information.
  • A well-implemented DMS can cut search time by up to 60%.
  • Effective training can lead to even greater efficiency gains.
  • The calculation accounts for direct time only, excluding related inefficiencies.
  • Excludes costs associated with errors, duplicate work, process delays, and compliance risks.

The formula, for anyone who wants to check the math

search_hours_per_person_per_day = search_minutes / 60
daily_hours_company_wide        = employees × search_hours_per_person_per_day
daily_cost                      = daily_hours_company_wide × hourly_rate
monthly_cost                    = daily_cost × (working_days / 12)
annual_cost                     = daily_cost × working_days
potential_savings               = annual_cost × 0.60

Nothing exotic. The formula produces a deliberately conservative number. Here's what we excluded that a less conservative calculator might have included:

  • Errors and rework. When employees can't find the latest version, they sometimes act on the wrong one.
  • Duplicate work. Without a canonical "latest version," teams sometimes duplicate work.
  • Process delays. Contracts stuck on desks, policies waiting for approval, the CEO waiting for a signed document.
  • Compliance risk. Sanctions for outdated policies, audit findings, regulatory responses.

The calculator is a floor, not a ceiling. If your organization is exposed to any of the costs above, the actual hidden cost is higher than the number on screen.

Where the 60% efficiency claim comes from

Industry research on the productivity impact of well-implemented document-management systems clusters around a 60% reduction in search time. This figure is consistent with the Gallup 2024 data (6 hours per week spent on search, 34% of that on finding the latest version alone) and with observed patterns at customers we've worked with.

60% is a defensible estimate, not a guaranteed outcome. This is why the free assessment exists. We walk through the specific patterns in your organization and produce a tailored estimate.
