When AvePoint is the right choice

We don't pretend AvePoint is wrong for you. Three legitimate reasons to choose them:

  1. You need the platform breadth. If your organization is looking for a single vendor for records management AND secure collaboration AND workspace provisioning AND M365 backup, AvePoint's integrated platform is a genuine answer. We only solve one of those problems.
  2. You're already deeply invested in AvePoint. If you're using Opus and Cloud Backup and MyHub already, adding another DMS vendor alongside adds vendor-management overhead the AvePoint platform doesn't.
  3. Enterprise platform procurement is your default. Some procurement organizations are more comfortable with large-platform vendors at scale. AvePoint checks that box.

Three reasons customers choose us over AvePoint for the document-management scope specifically:

1. Transparent pricing is a conversion advantage — and it reflects how we sell

AvePoint gates every price behind a form. Buyers who want to self-qualify — the procurement lead who needs to put a budget ballpark in front of the CFO before a sales conversation, the IT director evaluating four vendors in parallel, the compliance officer writing a justification memo — are blocked.

This isn't a marketing gimmick. It reflects how we think about the sale: we'd rather you self-qualify and come in informed than go through a six-week procurement dance.

2. A single page — this page — owns the "document management on SharePoint" query

AvePoint's DMS capability is distributed across Opus, Confide, MyHub, and two Solutions pages. None of them owns the "SharePoint document management system" search intent. A buyer landing on AvePoint from a generic DMS query has to piece together the answer across products.

Our site has one page for Document Management. The four-stage lifecycle is the same narrative across every page. The buyer gets a clear, coherent answer to "what does this do and how does it work" without assembling it themselves.

3. Our positioning leads with document-lifecycle governance, not storage cost

AvePoint's Opus headline — "Don't Just Manage Information – Command It" — is followed by a value proposition anchored on storage-cost savings. That's a valid sell to a CIO worried about Microsoft 365 storage bills, but it's not the headline concern of a Quality Manager preparing for an ISO 9001 surveillance audit, a pharma QA Director managing SOPs under 21 CFR Part 11 expectations, or a Privacy Officer building a HIPAA-aligned document library.

Our positioning is: govern the document lifecycle — create, approve, publish, audit — inside your tenant. That's the DMS-buyer concern we address directly.


What both products get right

To be fair to AvePoint, here's what both products handle well:

  • Inside-the-tenant deployment. Neither takes your data outside M365.
  • Microsoft 365 integration. Both use Entra for identity, SharePoint for storage, and Microsoft's platform security and attestations.
  • Audit trails and retention. Both capture document actions and support long retention periods.
  • Enterprise readiness. Both are used at scale by organizations in regulated industries.

Where we don't pretend to compete

Equally honestly — some things AvePoint does that we don't:

  • Backup and recovery of M365 data — AvePoint Cloud Backup. Not in our scope.
  • Policy enforcement across the tenant — AvePoint Policy Enforcement. Not in our scope.
  • Security insights and DLP analytics — AvePoint's security products. Not our category.

FAQ

Is AvePoint "better" than intranet.ai? Wrong question. AvePoint is broader; we're deeper on document lifecycle. Whether that trade-off favors you depends on scope.

Can I use both? In practice, some customers do run both — AvePoint for backup and M365 governance, us for document lifecycle. They're complementary rather than directly competitive on every feature.

Does the comparison apply to other AvePoint products like Opus Records Management specifically? Yes — Opus is AvePoint's closest analog to our product. The differences above (pricing transparency, scope focus, positioning emphasis) apply to the Opus comparison directly.
